Settings: 22. Texas Trip Ticket

The Texas Trip Ticket settings let you configure and automate your TCEQ sludge transporter recordkeeping and annual report process.

Section 1: Activation

When you first access the Texas Trip Ticket settings, you'll need to activate them.

🛑 If you do not provide septic or grease pumping services in Texas, you may skip these settings.

✅ Check the option to activate the Texas Trip Ticket.

Section 2: Generator Certification Text

The generator certification text is the language that the waste generator — that is, your customer — signs.

â„šī¸ The generator certification text contains the language required by the TCEQ.

âŒ¨ī¸ Enter additional language, if any, you want to include in the generator certification text.

Section 3: Transporter Certification Text

The transporter certification text is the language that the waste transporter — that is, your business — signs.

â„šī¸ The transporter certification text contains the language required by the TCEQ.

âŒ¨ī¸ Enter additional language, if any, you want to include in the transporter certification text.

Section 4: Receiver Certification Text

The receiver certification text is the language that the waste receiver — that is, your waste facility — signs.

â„šī¸ The receiver certification text contains the language required by the TCEQ.

âŒ¨ī¸ Enter additional language, if any, you want to include in the receiver certification text.

Section 5: Required Signatures

The TCEQ requires septic businesses to collect signatures from waste generators, transporters, and receivers. Tank Track allows these signatures to be captured on a tablet or remotely, through email or text.

✅ Check the "Include Generator Signature" option to require the signature of the waste generator.

✅ Check the "Include Technician Signature" option to require the signature of the waste transporter.

✅ Check the "Include Receiver Signature" option to require the signature of the waste receiver.

â„šī¸ In order to comply with TCEQ requirements, all three options should be checked.

Section 6: Internal Notifications for Remote Trip Ticket Signatures

Tank Track allows the signatures of waste generators and receivers to be captured remotely, through email or text. You may indicate whom and how you want to be notified when a waste generator or receiver signs a Texas Trip Ticket remotely.

✅ Check the "Send an email to:" option if you want to receive email notifications.

  • ✅ Select each user who should receive an email notification when a Texas Trip Ticket is signed remotely.

  • â„šī¸ You may add an email address of a non-user who should also receive an email notification when a Texas Trip Ticket is signed remotely.

✅ Check the "Add dashboard notification for:" option if you want to receive dashboard notifications.

  • ✅ Select each user who should receive a dashboard notification when a Texas Trip Ticket is signed remotely.

  • â„šī¸ You may access your dashboard when logging into Tank Track and also by clicking your business name at the top-left corner of the window.

â„šī¸ You may select to receive both email and dashboard notifications.

Section 7: Email Trip Ticket PDFs to Self

When a Texas Trip Ticket is completed, you may have that trip ticket emailed to yourself.

✅ Check the option to email a PDF copy of completed trip tickets to yourself.

âŒ¨ī¸ Enter the email address to send PDF copies of completed trip tickets.

Section 8: Government Reporting

You may configure Tank Track to send completed Texas Trip Tickets to a designated government reporting agency.

✅ Check the option to enable trip tickets to be sent to a designated government reporting agency.

âŒ¨ī¸ Enter the name of the government agency.

âŒ¨ī¸ Enter the email address of the government agency.

â„šī¸ Tank Track displays a list of all Texas Trip Tickets emailed to the designated government reporting agency.

Section 9: Automate Trip Ticket Compliance

You may automate the entire Texas Trip Ticket process to help ensure compliance with TCEQ requirements.

Capture Missing Waste Generator Signatures

You may auto-send emails to waste generators — that is, your customers — to request their signatures.

✅ Check the "Auto-Send requests for missing generator signatures at the earliest of" option to automatically request your customers to sign their tickets at the selected events or times.

  • ✅ Check the "When invoice is marked complete" option to automatically send the request when the invoice is marked complete.

  • ✅ Check the "30-90 minutes after Time Out" option to automatically send the request 30 to 90 minutes after the "time out" time on the invoice.

  • ✅ Check the "At [TIME] every day" option to automatically send the request at the selected time every day.

✅ Check the "Auto-Send a second request for missing generator signatures after [DAYS] days" option to automatically send a second request for your customers to sign their tickets after an indicated number of days.

Capture Missing Waste Receiver Signatures

You may auto-send emails to waste receivers — that is, your waste facilities — to request their signatures.

✅ Check the "Auto-Send requests for missing receiver signatures at the earliest of" option to automatically request your waste facilities to sign their tickets at the selected events or times.

  • ✅ Check the "When waste manifest is marked complete" option to automatically send the request when the waste manifest is marked complete.

  • ✅ Check the "30-90 minutes after Time Out" option to automatically send the request 30 to 90 minutes after the "time out" time on the waste manifest.

  • ✅ Check the "At [TIME] every day" option to automatically send the request at the selected time every day.

✅ Check the "Auto-Send a second request for missing receiver signatures after [DAYS] days" option to automatically send a second request for your waste facilities to sign their tickets after an indicated number of days.

Distribution of Completed Texas Trip Tickets

You may auto-send completed trip tickets to waste generators, transporters, and receivers, together with filling in missing signatures.

✅ Check the "Auto-Send completed trip tickets to everyone at [TIME] every day" option to automatically send completed trip tickets to waste generators, transporters, receivers, and government reporting agencies at an indicated time every day.

✅ Check the "Fill in missing signatures and Auto-Send trip tickets [DAYS] days after the date of disposal at [TIME]" option to automatically fill in missing signatures and send those trip tickets to waste generators, transporters, receivers, and government reporting agencies:

  • after an indicated number of days following the waste disposal date

  • at an indicated time.

â„šī¸ If a signature is missing, Tank Track will insert "Unable to Obtain Signature" on the missing signature line.

â„šī¸ The TCEQ requires completed Texas Trip Tickets to be provided to waste generators, transporters, and receivers no later than 15 days following the waste disposal date.
