Settings: 04. Users

Add, edit, and remove users.

Add new user.

You may add as many users to Tank Track as you want. There is no additional fee for additional users.

TIP: We strongly encourage each user to have his or her own login credentials. Please do not allow users to share login credentials, as that practice creates critical security risks.

To add a new user:

STEP 1: Click the ADD NEW USER BUTTON to add a new user to Tank Track.

STEP 2: Enter the new user's information.

Field Name

Explanation

Full Name

The user's full name.

User Name

The user's shorter (or abbreviated) name.

Email Address

The user's email address. IMPORTANT: Each user must use a unique email address.

Cell Phone

The user's cell phone number. Click the TURN ON TEXTING BUTTON to activate the ability to text daily schedules and routes to the user.

Change Password

The user's password.

Repeat Password

The user's repeated password, to ensure accuracy.

Color

The user's assigned color.

Technician

Whether the user is a field technician. Leave unchecked if the user is not a field technician.

Send Routes by Email

Whether the user is a field technician who should receive daily route information emails.

Include Phone Numbers

Whether the user is a field technician who should receive daily route information emails that include customer phone numbers.

Date User Created

The date the user was created (non-editable).

STEP 3: Set the new user's access permissions.

Access Permission

Options

Own Schedule and Invoices (View-Only Property Invoice History)

View/Edit allows a user to:

· view only his or her own schedule;

· view and edit only his or her own invoices; and

· view the related property information, including its invoice history.

View Only allows a user to:

· view only his or her own schedule;

· view only his or her own invoices; and

· view the related property information, including its invoice history.

None prevents a user from viewing his or her own schedule, invoices, and related property information.

Create and Schedule their own Appointments

View/Edit allows a user to create and schedule his or her own appointments.

None prevents a user from creating and scheduling his or her own appointments.

Pricing

View/Edit allows a user to view and edit pricing information on accessible invoices.

View Only allows a user to view pricing information on accessible invoices.

None prevents a user from viewing pricing information on accessible invoices.

Contacts, Properties, Service Due, and Estimates

View/Edit allows a user to view and edit contacts, properties, estimates, and service due notices.

View Only allows a user to view contacts, properties, estimates, and service due notices.

None prevents a user from viewing contacts, properties, estimates, and service due notices.

All Schedules, Invoices, and Service Contracts

View/Edit allows a user to view and edit all schedules, invoices, and service due notices.

View Only allows a user to view all schedules, invoices, and service due notices.

None prevents a user from viewing all schedules, invoices, and service due notices.

Send Emails and Text Messages

View/Edit allows a user to send emails and text messages.

None prevents a user from sending emails and text messages.

Manage Payment Methods

View/Edit allows a user to manage payment methods.

Payment Due Dates

View/Edit allows a user to view and edit payment due dates.

None prevents a user from viewing and editing payment due dates.

Company Reports and Payments List Page

View/Edit allows a user to view the payments list and company reports.

None prevents a user from viewing the payments list and company reports.

Export Company Lists and Backup Files

View/Edit allows a user to export company information and generate backup files.

None prevents a user from exporting company information and generating backup files.

Settings

View/Edit allows a user to access Tank Track's settings.

None prevents a user from accessing Tank Track's settings.

Add/Edit/Delete Users (Within Settings)

View/Edit allows a user to add, edit, and delete other users.

None prevents a user from adding, editing, and deleting other users.

Access Private Notes

View/Edit allows a user to access private calendar notes.

None prevents a user from accessing private calendar notes.

STEP 4: Set the new user's delete permissions.

Delete Permission

Options

Invoices and Waste Manifests

Yes allows a user to delete invoices and waste manifests.

No prevents a user from deleting invoices and waste manifests.

Service Due, Estimates, and Service Contracts

Yes allows a user to delete service dues, estimates, and service contracts.

No prevents a user from deleting service dues, estimates, and service contracts.

Payments

Yes allows a user to delete payments.

No prevents a user from deleting payments

Contacts, Properties, and Waste Sites

Yes allows a user to delete contacts, properties, and waste sites.

No prevents a user from deleting contacts, properties, and waste sites.

STEP 5: Click the SAVE BUTTON.

Edit existing user.

To edit an existing user's information or access or delete permissions:

STEP 1: Click the user to edit.

STEP 2: Edit the user's information, access permissions, and delete permissions, as desired.

STEP 3: Click the SAVE BUTTON.

Remove existing user.

To remove an existing user:

STEP 1: Click the user to remove.

STEP 2: Click the DELETE BUTTON.

IMPORTANT: If the user is designated as a default technician of a truck in the Trucks Settings, you'll first need to remove the user as a designated default technician before being able to remove the user from Tank Track.

STEP 3: Click the DELETE BUTTON in the confirmation window.
